How do you get your full job history out of Procore, Viewpoint or ServiceTitan?

This guide is general information, not legal, tax or accounting advice. Laws, contract terms and exceptions vary by state, by claim and by contract, so confirm how any of this applies to you with an attorney or CPA licensed where you work.

Getting your full job history out of Procore, Trimble Viewpoint, ServiceTitan or Autodesk Construction Cloud takes a planned set of exports, run while your subscription is still active. Each platform exports by project, tool or report, in its own formats, and each has gaps. Vendor terms can also set a deadline. ServiceTitan isn't obligated to keep your data more than 60 days after termination, and Trimble's standard terms end access when the term ends. Start with the agreement, then test one job.

What does a full Procore export include and leave out?

Procore's Project Archive tool exports one project's records as a .zip file. Most items come out as PDFs, while documents and photos keep their original file types. Procore's help center lists 26 supported tools, including RFIs, Submittals, Emails, Correspondence, Change Events, Change Orders, Prime Contracts, Subcontracts and Daily Log. Budget isn't on that list. Each archive can be downloaded for 30 days.

The supported tools cover most of what an MEP contractor would want from a job:

AreaTools Procore lists for Project Archive
Project managementAction Plans, Correspondence, Emails, Meetings, Observations, RFIs, Submittals
Field and qualityDaily Log, Forms, Incidents, Inspections, Photos, Punch List
Documents and designDirectory, Documents, Drawings, Models, Specifications
Financial and contractBids, Change Events, Change Orders, Prime Contract Invoices, Prime Contracts, Purchase Orders, Subcontractor Invoices, Subcontracts

A few limits matter. For Photos, Directory, Documents, Models, Specifications and Change Orders, you can't choose whether attachments are included. The Daily Log comes out as one summary per day. Users can download only their own archives unless they have Admin permission on the project's Directory tool.

PDFs work well as a records archive. They're harder to sort or total. If you want job data in rows and columns, ask your Procore account manager which structured export your plan includes.

What does a full export from Viewpoint Vista or Spectrum include?

Trimble's help pages describe two routes for getting data out of Viewpoint. Spectrum exports reports one at a time to formats including Excel and Word. Vista customers in Trimble's newer cloud offerings can connect directly to the Vista database over ODBC. Trimble also keeps daily .BAK backups of cloud Vista databases. Ask Trimble in writing whether it will deliver a full database backup when your contract ends.

In Spectrum, the export starts from a report preview. Click the Export Report icon, choose "Send to an Application," pick a format and save the file. Expect to run many reports to cover your full history.

For Vista in Trimble's cloud, the TLS Database Endpoint gives "ODBC access ONLY" to the Vista database. Trimble says it's available to customers hosted in Trimble Construction One, Viewpoint One, Vista SaaS or Viewpoint Enterprise Cloud. Viewpoint For Cloud customers can't use it.

Trimble's Vista cloud FAQ describes pulling a customer's .BAK files "from the daily snapshots" to refresh a test environment, with two weeks' lead time. That process is written for test refreshes. Whether Trimble will hand you a production backup at exit depends on your agreement, so get the answer in writing.

If Vista runs on your own server, your IT team already controls the database.

What does a ServiceTitan export include?

ServiceTitan's Terms of Use say that after termination, on your request, ServiceTitan will make "commercially reasonable efforts" to export your Customer Data in electronic format, and service fees may apply. ServiceTitan makes no promise on completeness and isn't obligated to keep the data more than 60 days after termination. While your account is active, ServiceTitan can also send scheduled CSV files to an SFTP server you control.

The termination export is the fallback. ServiceTitan's terms say it "makes no representation as to the integrity, completeness or timeliness" of exported data. After the 60-day Export Period, ServiceTitan can delete Customer Data by deleting your account.

The scheduled CSV export is the better route while you're still a customer. ServiceTitan's general CSV integration guide describes a one-way export with one CSV file per data type, including invoices, AR payments, vendor invoices, customers, locations, equipment, materials, projects and vendors. Files go only to an SFTP server. Google Drive and similar services aren't allowed.

To set it up, get an SFTP server and credentials ready, then contact your Customer Success Manager or Account Executive. Start this months before your term ends. The CSV export is built for accounting data, so ask whether it includes attachments, call recordings and technician notes.

What does an Autodesk Construction Cloud export include?

Autodesk Construction Cloud's Data Connector extracts project data as a ZIP of CSV files. Autodesk's help page lists cost, forms, issues, RFIs, submittals, reviews, transmittals, schedule, sheets, markups, meeting minutes, photos, users and roles, along with links between records such as RFIs tied to potential change orders. Project admins can extract one project. Members with executive overview access can extract across the account.

Autodesk's help page says the files "can be downloaded up to 30 days after extraction." Download them as soon as the email arrives and store them with your other records.

By default, Data Connector selects every tool, and you can narrow the list. Leave it on all tools for an archive.

The Data Connector help page lists data sets. It doesn't say whether the drawing and document files themselves come with the extraction. Plan a separate download of your Docs folders, and confirm with your Autodesk account team how to pull every file version before the subscription ends.

What do the vendors' terms say about owning your data and getting it back?

ServiceTitan's and Trimble's published terms both say the customer owns its data. Both also limit access after the contract ends. ServiceTitan isn't obligated to keep your data more than 60 days after termination. Trimble's Offering Terms say you won't have access once the subscription term ends unless your order or a written agreement says otherwise. Procore posts its Subscription and Services Agreement on its legal page; check the version your order form names.

Both ServiceTitan and Trimble keep rights in data derived from yours. ServiceTitan owns Aggregate Data, meaning de-identified Customer Data combined with other data. Trimble owns Anonymized Data and Usage Data.

Older Viewpoint customers may be on a Viewpoint license or a different Trimble order. The agreement you signed controls over the general terms quoted here.

What do the vendors' terms say about using your data for AI?

Procore's Developer Policy bars developers from using data pulled through Procore's API "to train, re-train, fine-tune, or benchmark any machine learning or artificial intelligence algorithm, model, software, or system." ServiceTitan opts accounts into sharing data for its own product development by default, with an opt-out under Settings > Titan Intelligence. Trimble's and Autodesk's terms are covered below.

Procore. The Developer Policy took effect September 30, 2025. It also bars bulk exports of API Data "without Procore's express consent." Procore's API Usage Guidelines say its REST APIs aren't meant for "building datasets for training, fine-tuning, or benchmarking AI/ML models (including LLMs)." The policy is written for developers of Applications that use Procore's APIs. How it applies to records your team exports through Procore's own tools is a question for your agreement and your attorney. Separately, Procore says it uses customer data to improve Procore Insights and doesn't share that data with other customers or use it to train third-party products.

ServiceTitan. The Data Preferences page has two options, Products and Services and Industry Publications. ServiceTitan's help center says "by default you are automatically opted into sharing data for these options." Its Terms of Use let ServiceTitan train AI models "solely to provide the Service to Customer" and say it won't use Customer Data to train models for third parties or models offered to other customers.

Trimble. The Offering Terms let Trimble use Customer Data "to develop, maintain, and improve the Offering" and to create Anonymized Data. They don't mention AI training by name.

Autodesk. AEC Magazine reports that under Autodesk's December 8, 2025 revision, customers may train AI models on their own data as long as they don't use Autodesk offerings to copy or replicate Autodesk's functionality. Autodesk says it trains its own AI models on "aggregated data that is non-identifiable."

How do you plan a complete export before a contract ends?

Plan a complete export by reading your agreement first, then testing one closed job, then running the full export while the subscription is still active. Give yourself 90 days or more. ServiceTitan's post-termination window is 60 days, Trimble's standard terms end access at the end of the term, and Procore archives and Autodesk extractions can be downloaded for only 30 days.

  1. Pull the signed agreement and order form. Find the clauses on data ownership, export, fees and what happens after termination. Note the exact end date.
  2. List every system and what lives in it. Include estimating, project management, accounting, service, the file server and email. For what to keep and for how long, see how long a contractor should keep project records.
  3. Count what you have. Note the number of jobs or projects, the oldest record and total storage for each system. You'll use these counts to check the export.
  4. Ask the vendor in writing what a full export includes, what format it comes in, what it costs and how long it takes. Use the email below.
  5. Test one closed job. Export it, then compare the counts of RFIs, change orders, submittals and attachments against what the system shows.
  6. Run the full export. Download every Procore archive and Autodesk extraction within 30 days of creating it.
  7. Check your AI data settings while you still have admin access, including ServiceTitan's Data Preferences page.
  8. Store two copies with an index by job number. Check file counts against step 3 before anyone signs off.
  9. Get the vendor's deletion date in writing so you know when the hosted copy is gone.

What should you ask your software account manager?

Ask your account manager in writing what a full export of your account includes, what format it comes in, whether there's a fee, how long it takes, and how long your data stays available after the contract ends. Also ask which tools or record types the standard export leaves out, such as attachments, emails or audit history. Written answers protect you if the export comes back short.

Send something like this:

> Subject: Full data export before our renewal date > > Hi [name], > > Our agreement for [company name] runs through [end date]. Before then, we want a complete export of our account history. Could you tell us: > > 1. What a full export of our account includes, and which tools, record types or attachments it leaves out > 2. What format each part comes in (PDF, CSV, database backup or other) > 3. Whether there's a fee, and how long the export takes once requested > 4. Whether our plan includes any structured export or direct data connection we're not using today > 5. How long our data stays available after the agreement ends, and when it's deleted > > Please reply in writing so we can attach it to our records. > > Thanks, > [Name, title]

If the answer to question 1 is vague, ask for a sample export of one closed project. It's the fastest way to see what's missing.

How does exporting your job history apply to licensing your project records?

A data license usually needs one complete, point-in-time export of your project records. Your team or your software vendor runs it after the license is signed. What your software agreement allows decides what can be licensed. Confidentiality terms in your owner and GC contracts can keep some records out too. Conduit checks the export terms in each of your software agreements, and your attorney reviews the contracts, before anything goes to market.

The license covers a copy. Your originals stay in your systems, and the retention schedule you already follow doesn't change.

The buyer handles de-identification under the license. Conduit doesn't buy, hold or de-identify records.

Records tied to an open claim or a litigation hold should stay out of any export for licensing until your attorney clears them.

Frequently asked questions

Can I export all my project data from Procore at once?

Procore's Project Archive tool exports one project at a time as a .zip file. It covers 26 tools, including RFIs, Submittals, Emails, Change Orders, Subcontracts, Purchase Orders and Daily Log. Most items come out as PDFs. Budget isn't on the supported list. Each archive can be downloaded for 30 days, so a company with hundreds of closed jobs should plan time for it. Ask your account manager whether your plan includes a structured data export as well.

How long do I have to get my data out of ServiceTitan after I cancel?

ServiceTitan's Terms of Use, updated September 1, 2026, say it isn't obligated to keep your data more than 60 days after termination. During that window, on your request, it'll make "commercially reasonable efforts" to export your Customer Data, and fees may apply. ServiceTitan makes no promise the export is complete. The safer route is a scheduled CSV export to your own SFTP server, set up through your Customer Success Manager well before the contract ends.

Do I own the data I put into ServiceTitan or Viewpoint?

Under both vendors' published terms, yes. ServiceTitan's Terms of Use say the customer "owns and retains all right, title, and interest in and to all Customer Data." Trimble's general Offering Terms say "Customer owns all Customer Data," though older Viewpoint agreements may use different language. Both vendors keep rights to de-identified or aggregated data derived from yours. Ownership doesn't guarantee access after the contract ends, so plan the export before your term runs out.

How do I turn off AI data sharing in ServiceTitan?

Go to Settings > Titan Intelligence to open the Data Preferences page. It has two options, Products and Services and Industry Publications. ServiceTitan's help center says accounts are opted into both by default. Clear the checkbox for each option you want to stop, then click Save.

Can we use data pulled from the Procore API to train an AI model?

Procore's Developer Policy, effective September 30, 2025, says developers and their Applications won't use API Data "to train, re-train, fine-tune, or benchmark any machine learning or artificial intelligence algorithm, model, software, or system." It also bars bulk export of API Data without Procore's express consent. If you're planning any AI use of Procore data, read your Subscription and Services Agreement with your attorney first.

What format will my exported job history be in?

It depends on the system. Procore's Project Archive gives mostly PDFs, with documents and photos in their original formats. Autodesk Construction Cloud's Data Connector gives CSV files. Spectrum exports reports to Excel, Word and other formats. ServiceTitan's scheduled export sends CSV files to an SFTP server. Vista cloud customers on Trimble's newer offerings can read the database directly over ODBC. Ask each vendor what your plan includes.
